On behalf of candidates, we hold, search and share data to help secure future career opportunities. On behalf of clients, we hold and share data to enable us to identify, select and brief potential applicants and future employees for vacancies.

Douglas Jackson are a recruitment consultancy and work with many of our customers; candidates and clients over many years and in some cases, throughout their entire career.
If you are happy for us to do so and where your experience and skills are suitable to the markets we serve, we would like to retain and store your Contact Details, Job Descriptions and CV/Career History on our internal CRM. This will enable us to stay in contact for future opportunities which arise and to provide you with jobs, candidates, news, market and industry insight you may be interested in.

Lawful Basis for Processing
We process personal data under the following lawful bases:
Legitimate Interest; where we process candidate and client data in the course of providing recruitment and executive search services, including identifying and matching individuals to roles, maintaining business relationships, and sharing insights.
Contractual Necessity, where processing is required to fulfil an agreement with a client or candidate (e.g. progressing an application).
Legal Obligation, where we are required by law to retain or share information (e.g. right to work checks).
Consent, where you explicitly agree (e.g. opting into job alerts or email updates). You can withdraw consent at any time.
Candidates: Information we collect when you communicate with us, apply for a role, or we engage with you in a professional capacity, we may collect and retain information such as: Name, Contact details (email, phone, address), Career history, CV, and career objectives. Salary expectations and location preferences, Right to work documents (where required), Sensitive data (e.g. diversity information), only where necessary and with explicit consent.
How We Use Your Information: We use candidate data in order to: Represent you for roles you are interested in and secure employment opportunities. Maintain communication with you regarding applications and future opportunities. Share your details with prospective employers (only with your explicit permission). Keep you informed of jobs, market news, insight, and career development information. Comply with legal and contractual requirements. Where your personal data is transferred outside the UK/EEA (e.g. to a client or service provider), we ensure appropriate safeguards are in place, such as adequacy regulations or standard contractual clauses.
Clients: Information we collect when we engage with you as a client, we may collect: Name, Job title, Business contact details (email, phone). Organisation information. We use client data in order to: Provide the services you have requested. Maintain business communications. Provide insights, reports, and relevant market information. Advise you on relevant candidates and services.
Sharing Information: We may share personal data with, Douglas Jackson employees and trading divisions, including our Career Services. Trusted service providers (CRM, email systems, IT systems) under strict data protection agreements. Prospective employers (with candidate consent). Regulators or law enforcement where required by law. We never sell or share personal information for commercial gain.
Retention of Personal Data: We will retain personal information only as long as necessary for recruitment and business purposes:
Candidates: Typically for up to 5 years, unless you continue to engage with us or consent to longer retention.
Clients: While you are an active business contact, or for as long as necessary to maintain our professional relationship. We review retention regularly and securely delete data when it is no longer required.
Right to Erasure & Suppression:
You have the right to request deletion of your data. When you do so, we will delete all personal information except for a minimal suppression record (first name, last name, email) retained solely to ensure we do not contact you again in error. This suppression record will not be used for any other purpose. If required by law, we may retain limited information (e.g. invoices, contracts, right to work checks) to fulfil legal obligations. If you later re-engage with Douglas Jackson (e.g. applying for a role), we will ask you to provide consent before processing your data again.
